Who we are

888 Software Systems LLC ("888," "we," "us") is a private limited liability company registered in Dubai, United Arab Emirates. We are the data controller for personal data we collect through 888softwaresystems.com.

What this notice covers

This notice describes how we collect, use, share, and protect personal data when you visit our website, fill in a form, subscribe to our newsletter, apply for a role, or interact with our AI assistant. It does not cover the products we build for our customers — those are governed by separate agreements between 888 and the operator of each product.

What we collect

We collect personal data only when you give it to us, when it is captured automatically by your browser, or when a third-party service we use captures it on our behalf. The categories are: (a) contact data you submit to forms — name, email, organization, phone where given, the contents of your message, and any UTM or referrer parameters that brought you to the form; (b) device and connection data captured by your browser — IP address, user agent, screen size, language, time zone, and the URLs you visited on our site; (c) consent state — your cookie preferences and the timestamp at which you set them; (d) AI assistant transcripts — the questions you ask and the answers we return, retained with PII redacted for product improvement; (e) job-application data — the contents of your application as forwarded by our applicant tracking system.

Why we use it

We use personal data to respond to your inquiries, to operate and secure the website (including fraud and abuse prevention), to comply with legal obligations, to assess job applications, to measure aggregate traffic and improve content, and — only with your consent — for marketing communications.

Lawful bases (GDPR / UAE PDPL)

• Performance of a contract: when we are responding to a request you initiated.
• Legitimate interests: operating the site, preventing abuse, defending our rights — balanced against your rights and freedoms.
• Consent: marketing emails, non-essential cookies, AI assistant analytics. You can withdraw consent at any time.
• Legal obligation: tax, anti-money-laundering, court orders.

Who we share it with

We share personal data with the third-party processors that help us operate the website. We have data processing agreements with each. Today these include: AWS (Dubai region) for hosting and storage; Anthropic for AI inference (visitor questions are sent to their API to generate responses); HubSpot for lead capture and email; the applicant tracking system named on our careers page; Cookiebot for consent management; analytics providers (Google Analytics 4 and Plausible). We do not sell personal data. We do not share personal data for cross-context behavioural advertising.

International transfers

Some of our processors are based outside the UAE and the European Economic Area. Where we transfer personal data internationally, we rely on Standard Contractual Clauses, an adequacy decision, or your explicit consent. The application data you submit through our careers flow is transferred to the ATS provider; their location is disclosed at the point of submission.

How long we keep it

Form submissions: 24 months. Newsletter records: until you unsubscribe, plus 12 months for suppression. Job applications: 24 months unless you ask us to delete sooner. AI assistant transcripts: 12 months, PII-redacted. Audit logs: 7 years for compliance. Server access logs: 90 days.

Your rights

Under the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and the EU/UK GDPR, you have the rights of access, rectification, erasure, restriction, portability, objection, and to withdraw consent. You may also lodge a complaint with the UAE Data Office or, if you are in the EEA/UK, with your national data protection authority.

Email our Data Protection Officer at dpo@888softwaresystems.com or visit /legal/data-requests for a guided submission. We will verify your identity and respond within 30 days.
